Regular Mail Flow with GFI OneConnect

This is a basic Microsoft Exchange email setup used to send and receive emails. Incoming email is routed to a gateway server which can be either on-premise or via an online service. The gateway routes email to Microsoft Exchange via a Firewall. Users access emails through their Microsoft Exchange mailboxes.

GFI OneConnect server components synchronize users, contacts, and calendar with the GFI OneConnect Data Center leaving it ready to take action in case of an outage.

Email Failure and Continuity Activated

When an email outage occurs, GFI OneConnect Data Center starts queuing the emails since your email infrastructure is not available. When activated, the Continuity service can handle all your inbound, outbound and internal email communications to minimize email downtime. Users can continue to send and receive emails via WebMail, via the Mobile Apps or via the Outlook Extension.

Continuity and Email Recovery

When your email system is back online, emails sent and received during the outage can be recovered back into your email system. The GFI OneConnect RecoveryManager installed on the GFI OneConnect server retrieves emails from the Continuity service and restores them back into your Microsoft Exchange mailboxes. This operation is transparent to users and does not impact the restored mail flow.

Email Security

The GFI OneConnect Security service protects your inbound email from viruses, filters out spam and provides mail monitoring features.

All inbound email is directed to the GFI OneConnect Data Center as configured in the MX records. Before routing the emails back to the gateway GFI OneConnect applies the filtering rules define by the administrator. Emails suspicious of containing spam or malware are blocked in the Quarantine. Users and administrators can release, delete or whitelist blocked emails.

GFI OneConnect Archive

GFI OneConnect Archive uses Microsoft Exchange Journaling to record all organization emails. Through the journaling feature, your mail server sends a copy of all emails sent and received to a journaling address. The journaling address channels the messages to the GFI OneConnect Data Center where it is archived and kept according to the retention policies in place.

Archive and Email Recovery

GFI OneConnect allows administrators to restore archived emails to the user's mailboxes.

The GFI OneConnect RecoveryManager installed on the GFI OneConnect server retrieves emails from the DataCenter and restores them back into your Microsoft Exchange mailboxes. This operation is transparent to users and does not impact mail flow.

Accessing archived emails

Users, administrator and review group members can easily access their archived emails using the web interface, the WebMail tool or the Mobile Apps. The search feature of GFI OneConnect Archive helps users to find quickly the emails they may be looking for using keywords or date range.
