Add a new File History Retention Policy

1. Select Configuration tab and click File History Retention PoliciesA system that enables you to control for how long to keep specific emails in your archive stores..

2. Click Add .

3. In the Retention Policy Details screen, key in the details for the new retention policy and click Next. Available options are:

Policy name

Defines the name for the new policy to be created.

Criteria

Defines the conditions that will identify an item as being part of this retention policy. From the drop down list select one of the following options and provide the values that an item must match to fall under this retention policy. Click to add more conditions or to delete a keyed in condition. Select:

  • Latest file older than - if the latest archived file is older than the specified number of days, GFI Archiver will either remove the file from history (if Do NOT retain any file history is selected) or keep the number of versions specified in Keep latest N versions in the file history of each archive.
  • Extension type - specify the file type from the available list.
  • Owner – define the user or group that owns the archived file.
Enable Policy

Defines whether a policy is in effect or not, if items are to be deleted immediately or how many versions will be retained. Select Enable Policy and select an option between:

  • Do NOT retain any file history - Any archived file that matches a retention policy where the configured action is ‘do not retain any file history’ will not have any archived versions. If selected and file is deleted from disk this could result in file being deleted from archive
  • Keep latest N versions in the file history of each archive - keeps the specified number of versions in the archive store. When a new version is archived, GFI Archiver removes one of the older versions.

4. Click Finish.
